[Doc] Update the Community handbooks for the move from Meetup.com to GatherPress #1151
Description
Why
WordPress community groups are moving off Meetup.com and onto events.wordpress.org, built on GatherPress. The direction was set in Meetup.com → GatherPress (July 9), and Update on the WordPress community groups on events.wordpress.org (September 26) lays out the rollout: testing now, real groups and a Meetup.com import tool next, everyone else later.
The platform work is well underway in #gatherpress-migration and the wordcamp.org migration milestone. The handbooks haven't started. As of October 15, 45 handbook pages mention Meetup.com or Meetup Pro, and there is nothing yet for organizers using events.wordpress.org or for supporters running a migration.
This issue tracks getting the docs ready before each group of organizers needs them.
Scope
- Update or retire every handbook page that describes Meetup.com.
- Write the new pages organizers, members, and supporters need on events.wordpress.org.
- Content only. Pages stay where they are, so this doesn't collide with the handbook restructure proposal. Once it's done, the restructure can move pages without having to rewrite them.
How the work is staged
The docs follow the rollout, not a calendar. Each stage has to be ready before the groups that need it move.
| Stage | Issue | Ready before |
|---|---|---|
| Pilot docs: new pages for organizers, members, and supporters | #1152 | The first real groups move |
| Group lifecycle pages: retiring, transferring, reengaging groups | #1153 | Groups with no organizer move (proposal) |
| Meetup.com reference sweep across all 45 pages | #1154 | Everyone moves |
| AI-assisted drafting, so the sweep doesn't depend on one person's time | #1155 | Runs alongside all of the above |
Decisions this depends on
- Wording. The local community stays the ongoing group and the events are what it hosts, so there's no new term to pick, but official uses of "Meetup" change (thread). Who signs off on that wording is still open.
- Where organizer docs live. Inside the Meetup Organizer Handbook, as help pages on events.wordpress.org, or both.
- Member data. Whether members can move in bulk is still open on the September 26 post. Several pages depend on the answer.
How to help
- Pick an unchecked item in one of the stage issues and comment that you're taking it.
- Editing handbook pages needs editor access on make.wordpress.org/community. Ask in #community-team.
- Questions about how the platform works go to #gatherpress-migration, so the docs match what's actually built.
Done when
- Every page in the sweep is updated or retired.
- The pilot and lifecycle pages are published.
- The "changes coming" notices are removed.
- Upkeep is handed to whoever maintains the handbooks after the restructure.
